Booking, payment, cancellation, and liability terms for our travel services.
These Terms and Conditions ("Terms") govern your relationship with Osaka Local Vibes Tours ("we," "our," or "us") when you book any tour, experience, or service offered by our company. By making a booking or paying a deposit, you confirm that you have read, understood, and agreed to these Terms.
All quotations are valid for 30 days from the date of issue unless otherwise stated. Prices may change after this period due to currency fluctuations, supplier rate changes, transit fare adjustments, or seasonal demand. A written purchase order or signed acceptance is required to confirm a booking.
All quoted amounts are in Japanese Yen (JPY / ¥) unless otherwise specified. All prices are tax-inclusive; Japanese Consumption Tax (JCT 10%) is already reflected. All payments must be made in JPY through the methods we specify (bank transfer, credit card via secure third-party processor, or other authorized means).
All cancellations must be made in writing (email is acceptable) and take effect on the date the written notice is received by us. Cancellation charges are calculated as a percentage of the Grand Total as follows:
Specific supplier cancellation policies (e.g., non-refundable hotel bookings, prepaid Shinkansen tickets) may apply additional fees. We will communicate these clearly at the time of booking.
Any changes to the number of participants must be communicated to us in writing at least 40 days prior to arrival. Changes in participant count may affect the total price and a revised quotation will be issued. Reductions made within 40 days of arrival are subject to the cancellation policy on a per-person basis.
Any additional costs caused by modifications to the itinerary, route, schedule, or services — whether due to guest requests, supplier unavailability, or other unforeseen circumstances — may result in additional charges, which will be invoiced separately. All changes must be agreed in writing.
We are not liable for delays, disruptions, or cancellations caused by:
We will make reasonable efforts to rearrange affected portions of your itinerary. However, no refunds will be issued for transit costs, accommodations, or services already incurred or paid to third-party suppliers.
We strongly recommend that all guests obtain comprehensive travel insurance covering trip cancellation, medical expenses, baggage loss, and personal liability before traveling. We are not responsible for any losses that would have been covered by appropriate travel insurance.

Our maximum liability for any claim shall be limited to the total amount paid by you for the affected services.
Guests are expected to conduct themselves respectfully toward our staff, guides, fellow travelers, suppliers, and the communities we visit. We reserve the right to terminate participation in a tour without refund for any guest whose behavior is deemed disruptive, unsafe, or disrespectful, including harassment, intoxication, or illegal activity.
During your trip, our guides may take photographs or videos for our records and (with your consent) for marketing purposes. If you do not wish to be photographed or have your images used in our marketing, please inform your guide at the start of your trip.
Custom quotations and itineraries prepared for you are confidential and may not be shared with third parties (other than your traveling party) without our prior written consent.
All website content — including text, images, logos, itineraries, and design — is the property of Osaka Local Vibes Tours and protected by intellectual property laws. Unauthorized reproduction or distribution is prohibited.
Any disputes arising from these Terms or our services shall be governed by the laws of Japan. The parties shall first attempt to resolve any dispute through good-faith negotiation. If unresolved, disputes shall be submitted to the exclusive jurisdiction of the courts in Osaka, Japan.
We may revise these Terms from time to time. The version in effect at the time of your booking will apply to your trip. Material changes affecting existing bookings will be communicated directly to confirmed guests.
